Filming Requests and General Guidelines

Responsible Use of Space

  • Film Liaison: The Responsible Use of Space Coordinator, Risk Management Services, is responsible for vetting all filming and photography requests at TRU and assisting with internal resource coordination for project approval.
  • Procedures: Established procedures are in place to safeguard your and the university's liability, and to uphold the privacy of our TRU community members.

Commercial Filming

  • Handled by: TRU Conference Centre.
  • Procedure: If you represent a commercial production company, fill out the filming request form, and the TRU Conference Centre will contact you for further assistance.

Filming Guidelines

  • Requests for filming should be submitted at least 10 business days in advance.
  • All drone use must receive prior approval. Visit our TRU’s drone use request page for more information.
  • A script or outline of the project must be submitted for approval.
  • Filming should cause as little disruption as possible to university activities and the campus community.
  • All locations must be returned to their original condition.
  • TRU’s anonymity should be kept unless a written request is made for documentaries and educational projects.
  • Ensure you acquire model releases for individuals who are identifiable (*) in your shots. Signage should be posted to alert/inform anyone in the area.
  • TRU will not sign any third-party agreements, contracts, waivers, or release forms.
  • Filming on campus should follow the sustainability guidelines for events and filming.

Non-commercial Filming Guidelines (Student, Faculty, or Staff)

  • Submit a filming request form, along with a script and scope of work, at least five business days in advance.
  • If you need a classroom, lab, or meeting room, check its availability in the Room Bookings Portal and make a reservation.
  • For indoor areas other than bookable classrooms, labs, lobbies, and meeting rooms, contact the respective building authority for permission.
  • Ensure you acquire consent/model release forms for identifiable (*) individuals. Signage should be posted to inform anyone in the area.

Identifiable (*)

  • “Identifiable” means a person can be identified by the information, either directly (e.g. name, image, job title) or in combination with other information. The most common scenario is where a person’s face is visible, but they could also be identified in other ways depending on the situation (e.g. if someone says their name during the recording).
  • If you’ve recorded someone from whom you don’t have consent, you should remove them from the record. For example, if someone’s face is visible in the background and you don’t have their consent to share their image, you should either crop them out, or blur their face so they can’t be recognized.

General Liability and Fees

Does not apply to TRU faculty, staff and students.

  • External filming companies, individuals, or organizations cannot proceed without general liability insurance.
  • Required insurance amount: $2 million with Thompson Rivers University, its governors, trustees, officers, and employees named as additional insured.
